If your practice is receiving direct deposits or ACH payments but missing corresponding 835 Electronic Remittance Advice (ERA) or Explanation of Benefits (EOB) files inside your EHR, your system's clearinghouse is likely missing active ERA enrollment for the specific payer (TPN Payer ID: T1010).

Unlike electronic claim filing (837), receiving electronic remits (835) almost always requires a separate, explicit enrollment step to connect your billing NPI and Tax ID to the clearinghouse.

Step 1: Complete ERA Enrollment in Your EHR

Follow the standard enrollment process inside your specific platform:

  1. Locate Payer Settings: Go to your EHR's Settings or Billing section and open Insurance Payers / Clearinghouse Services.

  2. Search for the Payer: Search for T1010 (or the designated payer name).

  3. Check ERA Status: Verify if the ERA / Remittance status is listed as Pending, Not Enrolled, or Action Required.

  4. Submit ERA Request: Click Enroll for ERA (or follow your EHR's quick-enroll wizard).

  • Exact Match Credentials: Ensure the Billing NPI, Tax ID (TIN), and Provider/Practice Name entered in your EHR match exactly what is on file with the payer and IRS W-9 forms. A single letter or digit discrepancy will cause the clearinghouse to reject routing.

  • Turnaround Time: Payer ERA enrollment processing typically takes 3 to 10 business days once submitted.

How to View Payment Details in the Meantime

While clearinghouse routing is being linked to your EHR, you do not have to wait to reconcile your claims:

  1. Provider Portal: Log in to your provider portal to view individual claim payment breakdowns and line-item details.

  2. Remittance Reports: Reach out to our support team to request a manual payment export/CSV for any recent disbursements while your 835 connection is finalizing.
